Hostel Mess Management System
The brief
The client runs a PG mess management operation serving a large, active student base, handling everything from registrations to daily fee collection and attendance. Before this platform, the entire workflow lived in spreadsheets and paper registers.
Student records were entered manually each time, which led to frequent duplication — the same student sometimes existing under multiple entries, making it impossible to get an accurate headcount or billing record.
Payments were tracked by hand, so there was no single source of truth for who had paid, who hadn't, and who was overdue. This created constant friction: staff spent hours every month reconciling collections, students had no way to check their own payment status, and a growing backlog of unverified entries meant the admin team was always playing catch-up rather than staying ahead.
With a sizeable student base and significant monthly collections flowing through the system, even small errors compounded quickly, and there was no dashboard or reporting layer to give leadership visibility into the health of the operation at a glance.
Our approach
We designed and built a complete SaaS platform tailored to the client's day-to-day operations, replacing the fragmented manual process with a single, centralized system. Key elements of the build included:
Student records were restructured into a clean, de-duplicated database, so each student exists as one verified entry — eliminating the duplication issues that plagued the old spreadsheet system. On top of this, we built an automated billing engine that generates fees on schedule without manual intervention, removing the need for staff to calculate and issue charges by hand each cycle.
For payments, the platform tracks every transaction in real time, automatically updating dues and balances so there's never ambiguity about who owes what. A dedicated student portal gives each student direct visibility into their own fee status and payment history, cutting down on the repeated "have I paid?" queries that used to land on staff. Attendance tracking was folded into the same system, linking presence data directly to billing logic where relevant.
For administrators, we built a real-time dashboard summarizing active students, monthly collections, and pending verifications, giving leadership an at-a-glance view of the entire operation without digging through records. A structured verification workflow flags incomplete or pending entries so nothing slips through unnoticed, and a reporting module pulls all of this together for ongoing monitoring and decision-making.
The end result is a fool-proof, fully centralized system: data integrity is enforced at the entry point, payments and dues are tracked automatically, and both staff and students have the visibility they previously lacked.
